3 Ways a Belay Certification Can Expire

Capitan’s April 3, 2026 release shipped seven updates. This post is about one of them, because it changes belay certification tracking for any gym that hands out provisional status: a proficiency can now expire a set number of days after its linked document is approved, independent of the document’s own expiration date.

Gyms have been running this flow by hand. A staff member finishes an orientation, grants the provisional proficiency, then opens the customer’s profile and adds an alert to it. The alert holds the climber’s next check-in until they talk to the front desk, and it sits on the account until they come back, pass the real test, and someone clears it off.

It works. It’s also a manual step per climber, repeated for every orientation you run, remembered by whoever happened to run it.

The manual version costs you three ways

The first is the obvious one. Every orientation carries a second task afterward, and it lands on the staff member least likely to have a free minute, the one who just spent twenty of them teaching.

The second is that a step done by hand is a step that can be skipped. An alert that never gets added produces a climber who is provisionally certified and looks, to every screen in the building, exactly like someone who passed a test. Nothing flags it, because nothing knows it should.

The third is the one gyms notice last and care about most: a note typed onto an account is not data you can ask questions of. Who came through an orientation but never came back for a test? Show me everyone checked off last quarter and who signed them off. Those are audit questions, and they’re difficult to answer from a pile of free-text alerts that staff wrote individually.

Belay certification tracking that expires on its own

Proficiency settings on the Staff Site, which is the front-desk side of Capitan, now include an option to expire a proficiency a set number of days after its linked document is approved. The window belongs to the proficiency itself and runs independently of the document’s expiration.

The common setup is the shortest one: set it to expire at midnight. Provisional status covers the visit it was granted for and nothing beyond it.

That’s usually the honest version of what a provisional proficiency is. The climber sat through an orientation, which is instruction rather than assessment, and the gym is letting them climb today on that basis. Tomorrow is a different question, and it’s the one the belay test answers.

What belay test expiration looks like in practice

A climber comes in on Saturday, goes through the orientation, and has her document approved. She climbs Saturday afternoon with nothing in her way. At midnight the provisional proficiency expires.

When she next checks in, the proficiency alert holds her at the desk until she speaks to someone, and the conversation is the same one you were already having: you’re here for a belay test before you can climb. The difference is that nobody had to set it up after her orientation, and it happens the same way for every climber who comes through one.

The other end of the range: proficiencies that expire from disuse

Same-day expiry handles the climber who was never assessed. Capitan also handles the opposite case, and has for a while: a proficiency can be set to expire when a customer hasn’t checked in for a given number of days.

Gyms use this on rope proficiencies in particular, and the reasoning is the same reasoning behind a test in the first place. Belaying is a motor skill performed under load, and a climber who passed a lead check and then didn’t come in for eight months is not the climber who passed that check. The Climbing Wall Association’s Industry Practices sourcebook gives proficiency assessment its own annex, separate from orientation, precisely because it’s a procedure worth repeating rather than a box ticked once.

Between the two settings, a proficiency can end three different ways: with the document it’s attached to, on a timer that starts at approval, or after a stretch without a visit. Most gyms want all three at once, on different proficiencies.

The part you can report on

An expiry date attached to a proficiency is a field on a record. That makes it answerable in a way a typed note isn’t: who holds this proficiency, when it was granted, when it lapses, whether it has.

For gyms that need to demonstrate their process rather than just run it, whether to an insurer, a franchisor or an internal review, that shift matters more than the labor saved. The state of every provisional climber in the building becomes a status rather than a recollection.

Set it once

The flow doesn’t change. Orientation, provisional status, real test, checked off. What changes is that the part holding it together stops being a task someone performs and starts being a setting, which is the same instinct behind reducing what new hires have to hold in their heads.

Give the proficiency a validity window rather than treating it as permanent. Most gyms set it to expire at midnight on the day it’s granted, so the climber is prompted toward a full belay test at their next visit without anyone adding a reminder by hand.

What happens when a provisional belay certification runs out?

That’s up to each gym. Most hold check-in until the climber speaks to the front desk, which turns an expiry into a conversation. A softer alert that staff can read and act on is also an option.

Can a belay certification expire if someone stops climbing?
