Capitan’s May 8, 2026 release makes youth climbing programs and kids’ birthday parties easier to run from the front desk. Parents can now state their relationship to each child on a waiver, staff can invite a family to an event straight from the participants list, missing waivers show up as an alert before anyone arrives, and private events can check in before the final balance is paid. The release also adds a Freeze Discount for seasonal membership holds, along with a batch of reporting updates.

It’s Tuesday afternoon and the phone rings. A parent wants to know if there’s still room on the Saturday youth team. There is, but only two spots, and the parent is in the car and can’t book online right now.

An hour later, a birthday party host emails. Twelve kids are coming on Sunday. So far, four waivers are on file.

On Sunday, the host arrives with a cake and one request: can they settle the bill after the party, once they know who actually showed up?

It’s a normal week at any gym that runs youth climbing programs, and every one of those moments lands on the front desk.

Why youth climbing programs create so much front-desk work

Adult climbers book, sign, and pay for themselves. Kids can’t. Every youth booking involves at least two people: the child who climbs and the adult who signs, pays, and reads the emails. Most legacy systems treat those as two unrelated records, so staff do the connecting by hand. They match a parent’s waiver to the right child, hold a spot with a sticky note, and scan a printed roster on party day to see who still needs to sign.

Youth programs are worth that effort. The Climbing Wall Association describes youth teams as a way to bring whole families into a gym’s community.

Four updates for youth climbing programs and parties

Hold a spot while the parent is still on the phone

The Event Participants list on the Staff Site (Capitan’s front-desk side) now has an Invite Customer to Event option. Staff search for the parent, or create a new customer record on the spot, and send them an invitation to the event. The spot is held, and the parent completes the booking and fills in the required information online when they get home.

Parents say how they’re related to each child

Documents now include a standard Relationship question in the Minor Participant Information section. The adult signing chooses parent, guardian, or other for the minors they add. When the document doesn’t require staff approval, Capitan automatically sends account linking requests for those minors, so each child’s profile connects to the adult who signed for them. It’s a simpler way to handle waivers for minors in youth climbing programs, because the family relationship is captured at signing rather than pieced together later.

See missing waivers before the party starts

On the Event Participants list, an alert icon now appears next to anyone who is missing a required waiver, or whose waiver expires before the event date. Check in a private event before the final payment

A new pricing matrix setting allows check-in for private event participants before the event is fully paid. For climbing gym birthday parties, this matches how the day actually goes: the host pays a deposit, the kids arrive, and the balance is settled once the final headcount is known. Turn it on for the pricing matrix your party packages use.

What a birthday party week looks like

Take that Sunday party for twelve kids. On Friday, staff open the participants list and see alert icons next to eight names. They send the host a reminder, and six parents sign that evening, each choosing “parent” in the Relationship field so their child’s account links to theirs. On Sunday, the last two parents sign at the desk, the group checks in on time, and the host pays the balance after cake.

Also in this release: Freeze Discount for seasonal membership holds

Families often pause memberships when kids head off to summer camp, and many gyms offer a free or reduced-price gym membership freeze for summer break, the winter holidays, or injury recovery. The new Freeze Discount type applies only to freeze fees, not to regular membership payments. A gym can waive the freeze fee for July and August without changing what members pay the rest of the year.

A related new option lets a membership discount skip members who pay several billing periods up front, so promotions don’t stack.

Smaller updates worth knowing

  • “Added to waitlist” emails. Customers now get a confirmation when they join a waitlist, with the event details and a customizable message from your gym. It builds on automated waitlists.
  • Earlier private event alerts. Staff with a notification address set up hear about a new private event booking as soon as it’s created, not only once it’s fully paid.
  • Minimum age for recurring memberships. A new organization setting sets the minimum age to own a recurring or prepaid membership, applied across the Climber App, the Staff Site, and roster management.

Less chasing, more climbing

Youth climbing programs grow when parents find them easy to join, and they stay manageable when staff aren’t chasing signatures and payments at the last minute. This release puts the parent-child relationship, the waiver status, and the booking in the same place, so the front desk can spend party day on the party.

Common questions

How do you manage youth programs at a climbing gym without adding staff time?

Keep the parent and child connected in one system. When the parent’s waiver, the child’s profile, and the event booking all link together, staff can see who’s ready and who isn’t without cross-checking lists by hand.

Can a parent sign waivers for minors in the same family?

Yes. The adult adds each minor in the Minor Participant Information section and chooses their relationship to each one. If the document doesn’t need approval, Capitan sends the account linking requests automatically.

Can kids check in to a birthday party before it’s paid in full?

Yes, if the gym turns on the setting for that event’s pricing matrix. The party can check in on time and the balance can be collected afterward.
